Materials to recorded cost

Follow materials beyond the order.

Receiving stock and recording project cost are different steps. Buying materials, receiving them and using them do not all mean cash changed hands at that moment.

Understand material records and costs

Read what arrived.

Start with the order. A partial delivery records the quantity received and leaves the remainder visible.

This saved order received 60 bags, then 40. All 100 are now received; none remain outstanding. Receipt history preserves both counts.

Delivery photos and notes are still missing in this example. The image does not establish delivery-document or photo proof.

Follow the stock.

The receipt increases stock; it is not, by itself, material issued to a project or a cash payment.

After both receipts, 20 bags went to Palm Court and 10 to the separate client job. The same material now has 70 bags, valued at $455 at a $6.50 stock cost basis.

The displayed running balances belong to their recorded times. They are not a second order or simultaneous opening balances.

See where the cost belongs.

Issue material to the project. Its recorded cost uses the stock cost basis, rather than counting the same receipt as project spend again.

Palm Court has $130 of recorded cost from its 20-bag issue. The allocation shows where the material came from; this report groups the stock-relief entry under Direct.

No cash payment was recorded for this chain. Zero recognised revenue does not provide a meaningful margin or forecast of final loss.

Client jobs, without sales inventory

The same discipline for a client job.

A refurbishment or client project can carry costs, purchase orders, milestones and evidence without creating units for sale. In your demo, we will focus on the work your team needs to record.

A distinct job, with its own records.

The client refurbishment has $65 of recorded project cost from 10 bags and a separately recorded 25% milestone. It has no sales units or releases.

The milestone's actual-cost field remains $0; it is different from the project's $65. Recorded progress is entered information, not a calculation from spend or independent site verification.
